When you submit an offboarding form, you define what should happen to the accounts and data of a departing employee. The form includes the following sections:
- 📅 Schedule Offboarding
- 📧 Email & Data
- ⚙️ Software Access
- 📩 Submit Offboarding Form

📅 Schedule Offboarding
Select the employee's last working day, this determines when the offboarding will take place. You can schedule an offboarding
- on the same day (after 14:00), or
- on the next working day (until 18:00).
Select the option you prefer and click “Continue” (lower right).
⚠️ Important: This does not update or change any data in your HRIS (if you use one).
📧 Email & Data
Decide what should happen to the employee’s email account and data. You can either:
- do nothing (leave the account untouched), or
- delete the account.
If you choose to delete the account, you may also choose:

Give someone access to the employee’s emails (optional)
If enabled, select the employee who should receive access.💡 Depending on your workspace, deeploi supports:

⚙️ Software Access
By default, deeploi removes access to all software that is managed by deeploi. If a tool is managed by an internal owner in your company, deeploi will send reminders to ensure access is removed.
You can also:
- keep access for specific tools by deselecting them, and/or
- choose an employee to transfer software account data to (where supported).
📩 Submit offboarding form
Before submitting, you’ll see a summary of all selected options.
- If something isn’t correct, click “Back” (lower left) to make changes.
- If everything looks good, click “Submit” (lower right) to start the offboarding.
