Disclaimer: While these security settings provide strong protection against phishing, malware, and other email threats, no system is 100% foolproof. Phishing attempts may still occur despite these measures. This guide has been created to the best of our knowledge and reflects current best practices. Always stay vigilant and follow security best practices when handling emails.
Here is a list of email security features in Google Workspace we recommend activating, and what they do:
-
Attachment Protection
- Blocks suspicious attachments and scripts from untrusted senders
- Identifies uncommon attachment types that could contain malware
- Prevents malicious files from reaching your inbox
-
Links and External Images Protection
- Reveals the true destination behind shortened URLs
- Scans linked images for malicious content before loading
- Displays warnings when clicking links to untrusted domains
- Prevents tracking pixels and surveillance techniques
-
Spoofing and Authentication Protection
- Guards against domain spoofing and impersonation attempts
- Identifies emails pretending to be from your domain
- Flags unauthenticated emails with a question mark by the sender's name
- Can be applied to private groups or all groups
Advanced security settings:
- Enable "Automatically turn on future recommended settings" to ensure you always have the latest protections without manual updates
- Select "Strongest level of protection" for comprehensive security across all email communications
-
Action recommendations:
- For suspicious attachments: Quarantine
- For suspicious links: Display warning
- For spoofed emails: Mark as spam
- For unauthenticated emails: Flag with visual indicator
By activating these protections, you'll significantly reduce your risk of falling victim to phishing attacks, malware, and other email-based threats. These settings work together to create multiple layers of defense without significantly impacting your day-to-day email usage.
To further strengthen your defenses, we recommend conducting regular phishing awareness trainings for your employees. If you’d like a recommendation for a training tool, feel free to reach out to us at hello@deeploi.io.
If there is ever any impact to your ability to send and receive email, we will adjust these settings accordingly.
